On Site participation for ICED 21 Delegates

Status 9 July: A selection of registred ICED delegates who expressed interest to attend physically have been invited, and need actively to complete their registration by July 19th the latest. There is also a waiting list. The number of on site delegates is limited to 50  and only invited and confirmed delegates will be able to attend on site. 

General: 

The pandemic situation is ongoing and makes any planning difficult for individuals as well as for us as ICED organisers. In the below, we describe how the hybrid format of ICED will work and ICED delegates who have expressed interest to attend  - if possible – physically will receive a mail for how to pre-register.

The HYBRID format of the ICED conference

All essential conference activities will be provided via a professional on-line platform (See figure 1) and one hybrid room for all plenary sessions and one technical session stream with both physical and on line participants. Physical attendees will be accommodated in the biggest aula at Chalmers, see figure 2). On site participants need to be prepared to follow other sessions via their own equipment (Computer, Phone, Headphones). Plenary sessions are produced “live” where some Key Notes will be present physically, others via link.

How many participants can be present at Chalmers physically?

The number of participants allowed on site will be limited since Pandemic rules apply also in August, and local rules further limit forms and numbers of participants, such as sparsely individual seating, catering routines etc. Requirements on distance and movement will be tailored to comply with other activities going on at Chalmers at the same time.
Full vaccination status or immunity is recommended for your own safety, although we take measures for keeping distance, providing disinfectants etc.

Program for physical attendees

On site delegates will be provided lunches and refreshments during the program. Conference dinner (Wednesday), social tour including dinner (Tuesday) are catered for in the physical attendance cost. Additional activities, such as campus tours are being planned.

How to attend physically?

All registered delegates who notified interest to attend physically in their registration until June 18th – except delegates outside Europe – will receive an invite to pre-register no later than June 30th. First set of delegates will receive their physical attendance confirmation by July 5th, whereafter additional registrants will be on a waiting list. We cannot guarantee all interested delegates to be confirmed, and changes may be enforced following the authorities (or Chalmers) rules also after confirmed.
No payment will be expected until confirmation is sent.
